K2 takes process automation to the next level at Zamil Industrial.
The IT department at Zamil Industrial is an ISO 20000:2011 certified service provider, delivering end-to-end IT solutions and services across the group. Before adopting K2 as its enterprise workflow solution in 2012, Zamil Industrial utilized another process automation platform. While this legacy system met the group’s needs at first, it did not offer the scalability and reliability required when the organization expanded and business users’ requirements grew more complex. Soon, IT resources were under pressure due to the number of bugs and breakdowns that required urgent attention. With insufficient support from the legacy system providers, environment downtime and business interruption became a serious issue.
Searching for a workflow engine that could keep pace with its burgeoning digital technology demands, Zamil Industrial consulted its Microsoft partner and shortlisted a range of alternative vendors – including K2. Following an in-depth selection process, K2 emerged as Zamil Industrial’s first choice.
Initially, the IT department developed and deployed just one, non-critical process on the K2 platform. They were impressed with the outcome, as well as the flexibility of the technology; and chose to proceed with K2 blackpearl. This platform enables Zamil Industrial to rapidly build and rollout low-code business process applications that are scalable and reusable – ensuring all business areas benefit from the most modern processes that accelerate their work and boost efficiencies.
“The transition to K2 Blackpearl was smooth and seamless. There was no need to invest in extra IT staff and the technology integrated well with our existing Oracle ERP using K2 data connectors,” explained Mohammed Al-Haddad, Program Manager for Process Automation and Information Technology at Zamil Industrial.
As of 2017, the vast majority of the group’s business processes have been moved to its K2 blackpearl platform – serving the most critical business areas including Personnel, HR, Training, Finance, Quality Control, Facility Management and Manufacturing. In 2015, more than 97,000 requests were initiated through K2 and in 2016, a further 81,000 were originated.
Zamil Industrial uses its internal IT resources to develop and support its business applications. Key members of the IT team have received in-depth training on the K2 platform in Dubai and everyone in the division is K2 certified. K2 provides further support when required and the team have noted that they are “so satisfied” with K2 support, due to K2’s “quick responses and actions”.
K2 has delivered on the business objectives of providing an agile business process automation platform that scales to suit business demand. It has also increased efficiencies within the IT department by significantly reducing the time taken to build and deploy a process application. The effort required to support all users across the group has also been drastically reduced – by 80%.
By freeing resources in the IT department, Zamil Industrial’s skilled IT staff can focus on more strategic projects. The reduction in the amount of IT support required throughout the enterprise represents a significant time and cost saving for both the IT division and the business units, which are no longer experiencing process downtime. Since K2 was implemented, reported incidents by users have been reduced across the group.
Powered by K2, Zamil Industrial employees can achieve more in less time, collaborate more effectively and keep their areas running smoothly. Around 3,000 personnel are currently using the solutions and workflows that have been built on the K2 platform, and they’re able to access these services remotely to ensure optimum productivity and business continuity on-the-go.
To date, more than 25 processes have been built on the K2 platform, including a loan request service, a leave application processing system, a hotel reservation request and a tracking solution using K2 SmartForms that enables users to access real-time updates on their process progress without needing to contact the IT department.
