Organizations today are faced with the ever-growing demand for more documents with more complexity. Managing these documents can be a challenge, unless you have the right tools from K2 and Qorus.
Read on for an interview with Qorus founder Ray Meiring to learn more about Qorus, document automation and how they partner with K2.
1. Tell us about your background at Qorus.
Back in 2004, I co-founded a .NET development company in Cape Town, South Africa with a good friend. That company was (and still is today) a reseller of K2 software. In about 2008, we came up with this idea to build a product to assist companies to generate documents more efficiently. That was the birth of Qorus. Around the world companies were facing the problem of having to create more and more documents - often with more and more complexity.
The other trend we clearly saw was SharePoint playing a dominant role in the management of documents in the enterprise. It made logical sense for us to use SharePoint as the basis for the product.
Since 2012, we have been growing, extending our capability and reach. We now have presence in the US and the UK, and created Qorus DocGeneration and Breeze Proposals. Qorus’ humble beginnings have allowed us to stay hungry, sharp and focused on reaching our goal of helping companies to be more effective when creating documents.
2. Why is document automation so important for SharePoint and CRM users?
Creating documents can be a very time consuming and irritating task. Then there’s the fact that when you manually create documents, they often contain mistakes and irregularities. CRM users are frequently required to create contracts, sales proposals, quotes and so on. This can be a huge waste of time and prone to errors. Users look to SharePoint and Office to automate these tasks, but neither product does an adequate job of automating documents.
That’s where Qorus comes in. Simply put, Qorus automates documents from SharePoint.
3. Tell us about DocGeneration and Breeze Proposals.
Qorus DocGeneration, our first product, sits on top of SharePoint as a feature. It allows template designers to use Microsoft Word or PowerPoint to design intelligent templates. These templates can contain data elements, links to re-usable SharePoint content and business rules to show and hide applicable content. Once a template is published, users can create documents based on the template. They do this from SharePoint, CRM, from a K2 workflow or SmartForm. This means that creating documents like contracts, financial reports, project reports, board packs or letters can be fully automated, saving companies significant time and drastically improving the accuracy of these documents.
Qorus Breeze Proposals builds on the Qorus DocGeneration base. It allows sales and bid teams to store and manage re-usable content in SharePoint. Using wizards and forms, users can rapidly build proposals or RFP responses from the store of re-usable content. Teams collaborating on proposals and bids can control contributions from subject matter experts. These features mean that sales and bid teams can operate more efficiently and with greater control. Instead of spending time writing proposals and answering RFP questions, these teams can focus on what they do best: selling their products and services.
4. How do Qorus and K2 work together?
Workflows often include the creation of one or many documents, and most documents require some form of workflow, like approvals or reviews. That’s the beauty of the integration capabilities between Qorus and K2. Qorus has built an action for K2 that allows workflow designers to invoke the creation of a document based on a Qorus Template. In addition, Qorus DocGeneration templates can connect to K2 SmartObjects to insert data from the SmartObject or to make content decisions in the document.
Sales and bid teams can further improve their proposal creation process by implementing K2 Workflows, K2 smartforms and SmartObjects as an extension of Qorus Breeze Proposals. These K2 tools support more sophisticated workflows and extended integration into CRM and other systems. They drive the reuse of data and the management of business processes, resulting in a better control of the proposal and bid process with reductions in time and effort.
5. What's coming next for Qorus and K2?
The team at Qorus is very excited about our alliance with K2. Qorus will continue to invest in making K2 and Qorus work together seamlessly. Plans are underway to extend Qorus’ support for SmartObject integration. In addition we will allow the use of the Qorus event wizard in all of the K2 design interfaces. Our sales and marketing teams are working together to let more and more people know about the improved efficiencies, reduction in error rates and greater control that can be realized by using K2 and Qorus together.
